DUTIES : Prepare documents for scanning. Scan documents by performing actual conversion to digital copies. Produce digital copies of documents. Check quality of scanned documents. Compile scanned documents into a logical folder, for quick reference. Ensure the safekeeping of all documentation produced in line with relevant legislation and policies. File and retrieve documents as required. Communicate concerns to Technicians and maintain co-ordination of movement of file boxes. Type documents for the manager and other staff within the unit. Operate office equipment like fax machines, photocopiers and scanners. Collects all relevant documents to enable the managers to perform their duties. Ensure the effective flow of information and documents to and from the office of the manager. Provide reception desk duties, receive calls and direct customers. Handle routine enquiries.

Provide financial administration support services in the unit. Draft correspondence to members of the public, other organisations and State Departments. Liaise with corporate services with all matters pertaining to the administrative functioning of the office.
